IndustrySubcontract files that
outlive the program team
Defense subcontracts run for years and pick up modifications the whole way. The people who placed the original award are often gone before anybody asks how it was decided, which makes capture matter far more than retrieval.
Time, and the people who leave during it
Most sectors produce purchasing records examined within a year. Defense subcontracts get examined after the team has changed twice, which is a different problem entirely.

The record does not depend on anybody
Reasoning written at the decision reads the same in year four as it did on the day. Reasoning held in somebody's memory leaves the building when they do.

Modifications stay individually legible
Four modifications over four years is normal on a defense subcontract. Each carrying its own amounts and evidence is what stops the record becoming unreadable.

Flow downs travel with the award
Clauses passed to a subcontractor belong with the order they attach to, not in a separate exchange somebody has to locate afterwards.
Traditional handling against this approach
Every defense contractor tracks subcontracts. The question is whether the tracking survives the people who set it up.

A conversation nobody recorded
The award decision was sound, the alternatives were considered, and none of it was written down because everybody involved already knew.

Written when it was decided
The reasoning is captured by the person deciding, at the moment they decide, and attached to the award it explains.

Appended to the parent
Each change gets added to the same record, and by the fourth one it takes somebody who was there to navigate what supports what.

Each on its own record
MOD 01 and MOD 04 read identically, carrying their own award and funded amounts, documents and progress.

A separate email
Clauses are sent to the subcontractor in their own message, and proving what they accepted means finding that thread years later.

Attached to the award
Clauses travel with the subcontract order, accepted alongside it and retained on the same record.

Weeks of collection
Documents from drives, approvals from inboxes, and reasoning from people who may no longer work there.

A filter and an export
Everything already sits on the award and its modifications, so producing the file is a search rather than an investigation.
Six questions, sometimes years later
Six questions, sometimes years later
The reasoning, written when the decision was made rather than recalled afterwards.
- How was the award decided
- Which suppliers were considered
- Who approved it

How was the award decided
The reasoning, written when the decision was made rather than recalled afterwards.

Which suppliers were considered
Named, with what each of them offered at the time.

Who approved it
By name, with the date and the authority they held.

What changed since
Each modification with its own award and funded amounts.

Where is the evidence
Attached to the phase and modification it supports.

Who has touched it
An activity record naming every person and every moment.
When the record earns its keep
When the record earns its keep
Recorded with its own amounts and evidence rather than appended to a record that is already hard to read.

Learn moreThe program buyer transfers
The record reads the same afterwards, because nothing important lived only in their head.
Learn moreA subcontractor document lapses
Tracked to expiry and chased before it matters rather than discovered during a review.
Learn moreSomebody asks for the purchasing file
Produced by filtering the awards and exporting the sample with support attached.
Learn moreFlow downs go to a subcontractor
Attached to the award and accepted with it rather than sent in a separate message.
Learn moreIncremental funding arrives
Award and funded held separately per modification, so the gap is visible rather than reconstructed.
Learn moreQuestions from defense contractors
Our subcontracts run for years. Does the record hold up?
How are flow down clauses handled?
Can we track award and funded amounts separately?
What happens when the program team changes?
Do you handle both prime and subcontractor positions?
How far back can we retrieve an award?
Can different programs use different checklists?
