Preparing for an audit,
without assembling it from scratch

Preparation is mostly determined long before an examination is announced. What decides how the weeks go is whether the evidence was built as work happened or has to be collected now.

DIRECT ANSWERChecked August 2026

Preparing for a DCAA audit means having accounting records, rate calculations and supporting evidence available in the form an auditor will request, with the practices behind them documented and consistently applied. Preparation is largely determined by how records were kept at the time, since evidence that was never captured cannot be recovered afterwards.

Before anything else

Establish which examination this is

The single most expensive preparation mistake is assembling the wrong evidence, and it happens because both bodies examine contractors and one word covers both.

Establish which examination this is

DCAA performs several kinds of examination. Knowing which one is under way tells you which records will be requested.

  • Accounting system, estimating or incurred cost
  • Each has its own criteria and record request
  • Confirm the scope in writing at the entrance conference

What decides how preparation goes

Four factors, all determined beforehand

By the time an examination is announced, most of what will determine the outcome has already happened.

Assembled on request

Records are gathered once the sample arrives, from drives, inboxes and people's recollections, which is slow and reveals gaps under pressure.

Evidence sits against the transaction it supports because it was filed there at the time, so producing a sample is retrieval rather than collection.

The delay in responding to a sample request is itself informative, and examiners generally read a slow response as a signal about the underlying records.

Four points worth building once

Four points worth building once

Some evidence is far cheaper to build once, as part of normal work, than to reconstruct each time an auditor asks.

  • Written procedures that match practice
  • Records exportable in the form requested
  • Approvals captured as the work happened

Subcontract pricingAn auditor may examine how the cost was analysed while a reviewer examines how the supplier was selected. Both questions concern the same award
Certified cost or pricing dataWhere required on a subcontract, the data and the analysis are relevant to both the accounting position and the purchase file
ModificationsChanges affect both the cost position and the purchasing record, and holding them per modification serves both
ApprovalsWho authorised what, at which value, is asked in both contexts and answered from the same activity record
FAQ

Common questions about audit preparation

What does DCAA examine?
Contractor costs, indirect rates, accounting system adequacy and cost or pricing data. It is an audit function and its role is advisory to the contracting officer rather than decision making.
How is that different from a purchasing system review?
A purchasing system review examines how you buy: award reasoning, price analysis, flow-downs and the consistency of your purchase files. Different evidence, different team, usually a different body.
How far ahead should we prepare?
Most of what determines the outcome has already happened by the time an examination is announced. The useful work is continuous, because evidence that was never captured cannot be reconstructed convincingly.
What if our practice deviated from our written procedure?
Record the deviation and the reason at the time. A departure with a recorded reason and a named approver reads as a decision. The same departure without one reads as an error.
Does response time matter?
Yes, more than teams expect. A slow response to a sample request is read as a signal about the underlying records and tends to widen rather than narrow the examination.
Can one set of records serve both examinations?
Largely. Both examine the same transactions from different angles, so an award record holding the cost analysis, the selection reasoning and the approvals supports both without being assembled twice.
Who should lead preparation?
It depends entirely on which examination it is, which is why establishing that first matters. Finance leading preparation for a purchasing review is a common and expensive misstep.
